How Manufacturing Teams Reduce Quote Turnaround Time

A slow quote process is rarely caused by one slow person. It is usually a chain of waiting: waiting for context, waiting for a missing drawing detail, waiting for historical information, and waiting for a clean handoff into the next system.

1. Make intake consistent

Define the minimum information needed to qualify an RFQ and make that structure visible at the point of intake. Email and uploaded documents can still be accepted, but the workflow should turn them into the same reviewable fields.

2. Separate extraction from judgment

AI can identify materials, quantities, processes, and referenced documents. It should present those findings with sources and confidence so an engineer or salesperson can confirm what matters instead of trusting an opaque answer.

3. Route missing information early

A useful workflow identifies missing dimensions, delivery requirements, or commercial details before an RFQ waits in a queue. A short, specific follow-up is more valuable than a generic request for ‘more information.’

4. Measure the handoff

Track RFQ-to-review time, follow-up cycles, quote preparation time, and the share of inquiries that become qualified opportunities. These metrics show whether the system is actually helping sales move faster.
